Export Limits
How much fits in one PDF, CSV or Excel file, the same wherever you export it, and what you see when something is too large
Every export has the same limits wherever you start it: the export dialog, a Document's Export, a scheduled report or a briefing. When the size is known before the export runs, as a table's row count is, you find out right away. Each message names the limit and your number, and says what to do instead.
| What | Limit |
|---|---|
| Rows in one table | 5,000, for a Table or Detail Table card, a Matrix, a Table or Matrix section in a Document, and a table attached to a scheduled report |
| Pages in one PDF | 300, whatever the page size or orientation |
| File size | 50 MB |
| A dashboard sheet | Prints as one long page, so a very long sheet can be too long to print as one PDF |
A row limit you set on the card counts as the whole table: a "Top 100" card prints its 100 rows, however large the data behind it.
How much 5,000 rows and 300 pages hold
A table of 5,000 short rows prints in about 130 to 170 Letter pages, so for most tables the row limit is the one you meet. A wide table prints in column bands, one page per band for each set of rows, and long text that wraps makes rows taller. Both use more pages per row, so a very wide or text-heavy table can reach 300 pages before it reaches 5,000 rows.
A Full dashboard PDF prints every sheet in order. Each sheet follows the same limits: a Document sheet holds up to 300 pages and its tables up to 5,000 rows, and the whole file holds up to 50 MB.
When a PDF is too large
In the export dialog, a table with more rows than a PDF holds keeps PDF on offer. When you choose it, the dialog tells you why it can't run and turns Export off:
This table has 6,214 rows. A PDF holds up to 5,000 rows per table. Add a filter to narrow it, or export the data as CSV or Excel.
A Document over a limit stops before it prints, and the dialog names the table or the page count:
This document is 385 pages. A PDF holds up to 300. Add a filter to narrow it, then export again.
A scheduled report leaves that one attachment out, sends the rest and lists the attachment with a plain line. See Scheduled reports for every line.
A PDF is never sent with part of a table: it holds every row, or the export stops and says why.
CSV and Excel
| What | Limit |
|---|---|
| A table that downloads right away | Up to 10,000 rows |
| A table exported in the background | Up to 1,000,000 rows, every row the server counts |
| A table attached to a scheduled report | Up to 1,000,000 rows |
| An Excel worksheet | 1,048,576 rows and 16,384 columns; a larger table downloads as CSV |
| A Matrix | See Matrix export limits |
The export dialog picks the right way for the table's size and says so before you click, so a file is never cut off. See CSV downloads and Excel downloads.
Need more rows?
A PDF is made for reading, and 5,000 rows is already more than 100 pages. To work with more rows, export the data as CSV or Excel, which hold every row up to 1,000,000. To print a long report, split it with a filter or an input, for example one PDF per region or per month.
Excel Downloads
Download Table, Detail Table and Matrix cards as Excel workbooks with real numbers and dates, or attach them to scheduled reports
Scheduled Reports
Send dashboards and cards by email or Slack on a schedule, as PDF, CSV or Excel attachments, with every table row and a plain note for anything left out
